Property Management Case Study Updating Rental Platform Startup X a service provider specializing in property management solutions, recognized the critical importance of refining its support channel to foster customer satisfaction and loyalty within its applications. With a diverse user base spanning various proficiency levels, including large-scale property owners, single home owners, and tenants, Startup X aimed to develop a list of features and services to support And accommodated the needs of all users across the platforms To achieve this, they assembled a dedicated design team consisting of three members and incorporated the product team as a pivotal element in their support channel enhancement strategy.


Additionally, they set a longer-term goal of establishing a unified design system to ensure consistency and efficiency across all their products and platforms. Objective: The primary objective was to optimize the support channel in both the web and mobile applications to offer efficient, user-friendly assistance tailored to the varying proficiency levels and unique needs of all three user personas: large-scale property owners, single home owners, and tenants in the property management industry.

User testing would serve as a guiding force in identifying pain points, enhancing usability, and driving iterative improvements in the support infrastructure, while also laying the groundwork for a unified design system. Personas: User Persona Identification: The three-person design team conducted research to identify the primary user personas engaging with their property management applications. Three fundamental personas were established: Persona 1: Property Management Professional: Representing proficient users seeking swift solutions and advanced troubleshooting options.

Persona 2: Novice Property Manager: Emblematic of beginners requiring clear instructions and guidance to navigate basic tasks. Persona 3: Tenant: Reflecting users with varying levels of proficiency seeking reliable support options tailored to their needs as renters. Approach: Test Scenario Development: The design team meticulously crafted test scenarios mirroring real-world support inquiries and challenges users might encounter, including those specific to property managers and tenants.

These scenarios encompassed a spectrum of common issues, ensuring comprehensive coverage during user testing across both web and mobile platforms. Recruitment of Test Participants: Utilizing Startup X's existing user base, the design team recruited participants representing diverse demographics and proficiency levels, including property managers and tenants. This approach ensured that insights gathered from user testing accurately reflected user needs and preferences across both platforms.

User Testing Sessions: Participants engaged in user testing sessions facilitated by the design team, tasked with executing support-related activities across various channels such as help documentation, live chat, email support, and community forums within both the web and mobile applications. Participants provided invaluable feedback on usability, clarity, responsiveness, and overall satisfaction, considering the unique needs of property managers and tenants.

Data Analysis: The design team meticulously analyzed feedback and observations gleaned from user testing sessions, identifying recurring themes, pain points, and opportunities for enhancement specific to property managers and tenants. Quantitative metrics, including task completion rates and response times, were juxtaposed with qualitative insights to inform decision-making. Iterative Improvement: Leveraging insights garnered from user testing, the design team iteratively refined the support channel infrastructure in both the web and mobile applications.

This involved optimizing help documentation, streamlining navigation, enhancing search functionality, and improving responsiveness across support channels, taking into account the distinct needs of property managers and tenants. Feedback from Product Owners and C-suite: Product owners provided strategic guidance on aligning support channel enhancements with Startup X's overarching product roadmap and business objectives, considering the varying needs of property managers and tenants.
